Terms of Service
Last updated 26 September 2026
Introduction and acceptance of these terms
These terms of service ("Terms") govern your access to and use of the Oakridge Accounting client portal and any related software made available to you by us (the "Service"). They apply to the Service itself, not to the accounting, tax or advisory services we provide as your accountant, which are governed separately by our engagement letter and terms of business agreed with you as our client.
By creating an account or otherwise using the Service, you agree to be bound by these Terms. If you do not agree to these Terms, you must not use the Service.
About us
The Service is provided by Oakridge Accounting Limited, a company registered in England and Wales under company number 17115678, whose registered office is at 24-26 Regent Place, Birmingham, West Midlands, B1 3NJ ("Oakridge Accounting", "we", "us" or "our").
The Service
The Service is a client portal that supports the delivery of our accounting services, including document and information exchange, and connecting your accounting and payment platforms so that your financial data can be synchronised and reported on.
As part of the Service, you may choose to connect third-party platforms such as Xero, QuickBooks or a payment provider (SumUp, Square, Stripe or Zettle) to your account. Doing so is subject to that provider's own terms of service, and you are responsible for ensuring you are authorised to connect any such account.
Your account
You are responsible for keeping your account credentials secure and for all activity that occurs under your account. You must provide accurate information when setting up your account and keep it up to date. Please tell us immediately if you become aware of any unauthorised use of your account.
Connected third-party services and your data
Where you connect a third-party accounting or payment platform to the Service, we access and process data from that platform in order to deliver our services to you. Full details of how we collect, use, share and retain personal data, including data obtained via connected platforms, are set out in our Privacy Notice, which forms part of these Terms.
Acceptable use
You must not use the Service:
- in any way that breaches any applicable law or regulation
- to attempt to gain unauthorised access to the Service, other accounts, or any connected third-party platform
- to introduce any virus, malware or other harmful material
- in any way that could damage, disable, overburden or impair the Service, or interfere with any other party's use of it
Intellectual property
The Service, including its software, design and content (but excluding your own data), is owned by or licensed to us and is protected by copyright and other intellectual property laws. You may use the Service only as intended for receiving our accounting services, and must not copy, modify or reverse-engineer any part of it.
Availability and support
We aim to keep the Service available at all times, but we do not guarantee uninterrupted or error-free access. The Service may be unavailable from time to time for maintenance, updates, or reasons outside our control, including the availability of third-party platforms it connects to.
Liability
These Terms relate to the Service as a piece of software, not to the professional advice or accounting services we provide, which are governed by our separate engagement letter and terms of business, including any limitation of liability agreed there.
We are not liable for any loss arising from your use of, or inability to use, the Service, except where that loss is caused by our negligence or breach of these Terms and where such loss was a reasonably foreseeable consequence of that negligence or breach. Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for any other liability that cannot be limited or excluded under applicable law.
Termination
We may suspend or terminate your access to the Service if you breach these Terms, or if your engagement with us as your accountant ends. You may stop using the Service at any time. Ending your access to the Service does not, by itself, end our separate engagement to provide accounting services, which is governed by our engagement letter and terms of business.
Client recommendations
Clients can recommend us using the personal link in their portal. Where a new client signs up through that link (or tells us who recommended them before their engagement begins), and that new client reaches their 12th month of service with us, both clients receive a one-off credit against their fees:
- £25 each where the new client joined on our Sole Trader Essential package;
- £50 each where the new client joined on our Sole Trader Plus package;
- £100 each where the new client joined on our Limited Company package; and
- £150 each where the new client joined on our Scale package.
The credit is applied to the fee collected for the new client's 12th month. The recommending client receives their credit only if they are still a client of ours at that point. The new client receives theirs whether or not the recommending client is still with us. No credit is due if the new client's engagement ends before their 12th month.
Credits have no cash value and cannot be exchanged or transferred. A client can be recommended only once, and clients cannot recommend themselves or a business they own or control. We will not tell the recommending client that the new client has joined unless the new client agrees, other than by applying the recommending client's own credit. We may change or end this programme at any time; any credit already earned will still be honoured.
Changes to these Terms
We may update these Terms from time to time, for example to reflect changes to the Service or to legal requirements. Where we make material changes, we will take reasonable steps to let you know. Continuing to use the Service after any changes take effect means you accept the updated Terms.
Governing law and jurisdiction
These Terms are governed by the laws of England and Wales, and any dispute arising under them will be subject to the exclusive jurisdiction of the courts of England and Wales.
Notices
Any formal notice under these Terms, including in relation to a dispute, breach or termination, should be sent in writing to complaints@oakridge-accounting.com.
